Gizlilik Politikası

Bu politika, Filonom uygulamasının (“Uygulama”) kişisel verileri nasıl işlediğini açıklar. Filonom; sürücü kursları ve araç filoları için bir yönetim aracıdır ve teknik bir hizmet sağlayıcı (“veri işleyen”) olarak çalışır. Uygulamayı kullanan işletme, kendi müşteri/öğrenci verileri bakımından “veri sorumlusu”dur.

1. Toplanan Veriler

• Hesap bilgileri: Google, Apple veya e-posta ile giriş sırasında ad ve e-posta adresi.
• İşletme verileri: Uygulamaya girdiğiniz öğrenci, araç, ödeme, ders, gider vb. kayıtlar; araç hasar/belge fotoğrafları; öğrencinin kuruma teslim ettiği ve kurum tarafından öğrenci kaydına eklenen vesikalık fotoğraf (öğrenci kendi hesabından görüntüleyebilir; kayıt silindiğinde veya saklama süresi dolup anonimleştirme yapıldığında geri döndürülemez şekilde silinir).
• Bildirimler: Ders ve sınav hatırlatmaları cihazın kendisinde zamanlanır. Uygulama bildirim kimliği (push token) toplamaz ve sunucudan bildirim göndermez.
• Cihazda işlenen belge görüntüleri: Öğrenci; kimlik, sağlık raporu, adli sicil, diploma gibi belgelerinin fotoğrafını kendi cihazında tek bir PDF'e dönüştürüp kursuna gönderebilir. Bu görüntüler Filonom sunucularına yüklenmez ve saklanmaz; yalnızca cihazda işlenir ve oluşan PDF, öğrencinin seçtiği kanaldan (ör. WhatsApp/e-posta) paylaşılır.
• Hata kayıtları: Uygulamada bir hata oluşursa hata mesajı, yığın izi, uygulama sürümü ve platform bilgisi kaydedilir. Bu kayıtlar üçüncü bir analiz servisine gönderilmez; işletmenin kendi veri alanına yazılır ve yalnızca sorun gidermek için kullanılır.
• Uygulama reklam veya pazarlama amacıyla veri toplamaz, reklam kimliği kullanmaz, konum izlemez ve üçüncü taraf analiz aracı içermez.

2. Verilerin Kullanımı

Veriler yalnızca uygulamanın işlevlerini (kayıt, takip, hatırlatma, raporlama) sağlamak için işlenir. Verileriniz sizin hesabınıza bağlı saklanır; yalnızca siz ve yetki verdiğiniz eğitmen/öğrenci hesapları erişebilir. Verileriniz reklam için kullanılmaz, satılmaz.

3. Saklama, Güvenlik ve Şifreleme

• Veriler Google Firebase (Cloud Firestore) altyapısında saklanır; sunucular yurt dışında bulunabilir.
• Kimlik ve iletişim alanları (T.C./kimlik no, telefon, e-posta) ile öğrenci belge notları, giriş yönteminden bağımsız olarak şifrelenerek saklanır. Şifreleme anahtarı, yöneticinin belirlediği veri koruma parolasıyla korunur; ne parola ne de anahtarın kendisi Filonom sunucularına gönderilir. Sunucuda yalnızca anahtarın parolayla kilitlenmiş hâli durur — parolayı bilmeyen hiç kimse, biz dâhil, bu veriyi açamaz.
• Aynı parolayla farklı cihaz ve platformlardan (Android, iOS, masaüstü) girildiğinde veriler açılabilir; kurulumda verilen kurtarma kodu, parola unutulursa tek erişim yoludur.
• Ad-soyad, araç plakası ve öğrenci belge durumu şifrelenmez: eğitmen ve öğrenci hesaplarının kendi ders programlarında ve panellerinde bunları görmesi gerekir.
• Parolanızı ve kurtarma kodunuzu birlikte kaybederseniz şifreli alanlar kalıcı olarak açılamaz — şifrelemenin doğası gereği bunu biz de kurtaramayız.
• Erişim, hesap kimlik doğrulaması (Google, Apple veya e-posta/şifre) ve sunucu tarafı güvenlik kurallarıyla korunur.

4. Verilerin Paylaşımı

Verileriniz, yasal bir yükümlülük olmadıkça üçüncü kişilerle paylaşılmaz ve hiçbir koşulda satılmaz.

Veli Portalı: İşletme dilerse bir öğrenci için tahmin edilmesi güç rastgele bir bağlantı altında ilerleme raporu yayımlayabilir. Bu rapor öğrencinin adını, ders ilerlemesini, ödenen ve kalan borç tutarını, sınav durumunu ve eğitmen değerlendirmelerini içerir; T.C. kimlik numarası ve telefon gibi alanlar yer almaz. Bağlantıya sahip olan herkes raporu görebilir; giriş yapmak gerekmez. Bağlantının kiminle paylaşılacağı ve ne zaman silineceği işletmenin kontrolündedir; rapor silindiğinde bağlantı erişilemez hâle gelir. Bu paylaşımı başlatan taraf işletmedir ve öğrenciyi (reşit değilse velisini) bilgilendirmek işletmenin sorumluluğundadır.

Kurum vitrini: İşletme isterse kurum adı, şehir ve iletişim numarasından oluşan herkese açık bir tanıtım profili yayımlayabilir. Bu profil hassas veri içermez.

5. Haklarınız ve Veri Silme

Verilerinize erişme, düzeltme ve silinmesini talep etme haklarına sahipsiniz. Uygulama içinden Ayarlar → Hesap → “Hesabımı ve Tüm Verilerimi Sil” adımıyla hesabınızı ve ilgili tüm verilerinizi kalıcı olarak silebilirsiniz. Silme talebi veya sorularınız için: destek@filonom.com.

Uygulamayı kurmadan da hesabınızın silinmesini talep edebilirsiniz: destek@filonom.com adresine hesabınıza ait e-posta adresiyle yazmanız yeterlidir. Talep en geç 30 gün içinde sonuçlandırılır ve hesabınızla birlikte tüm öğrenci, araç, ödeme ve fotoğraf kayıtlarınız kalıcı olarak silinir.

6. Reşit Olmayanlar

Sürücü kursu öğrencileri reşit olmayabilir. Bu durumda öğrenci verilerinin işlenmesi için veli/yasal temsilci onayının alınması, ilgili işletmenin (veri sorumlusunun) sorumluluğundadır.

7. Değişiklikler

Bu politika güncellenebilir. Güncel sürüm bu sayfada ve uygulama içinde erişilebilir olur.

Privacy Policy (English)

This policy explains how the Filonom app (“App”) processes personal data. Filonom is a management tool for driving schools and vehicle fleets, acting as a technical service provider (data processor). The business using the App is the data controller for its own customer/student data.

1. Data Collected

• Account info: name and email address when signing in with Google, Apple or email.
• Business data: student, vehicle, payment, lesson, expense and similar records you enter; vehicle damage/document photos; and the student ID photo the school adds to the student record (the student can view it from their own account; it is irreversibly deleted when the record is deleted or anonymised).
• Notifications: lesson and exam reminders are scheduled on the device itself. The App does not collect a push token and does not send notifications from a server.
• Document images processed on-device: a student may turn photos of their documents (ID, health report, criminal record, diploma) into a single PDF on their own device and send it to the school. These images are not uploaded to or stored on Filonom servers; they are processed only on the device, and the resulting PDF is shared through the channel the student chooses (e.g. WhatsApp/email).
• Error logs: if an error occurs, the message, stack trace, app version and platform are recorded. These are not sent to any third-party analytics service; they are written into the business’s own data area and used only for troubleshooting.
• The App does not collect data for advertising or marketing, does not use an advertising identifier, does not track location, and contains no third-party analytics tool.

2. Use of Data

Data is processed solely to provide the app’s functions (recording, tracking, reminders, reporting). It is stored under your account and accessible only to you and the instructor/student accounts you authorize. It is never used for advertising or sold.

3. Storage, Security and Encryption

• Data is stored on Google Firebase (Cloud Firestore); servers may be located abroad.
• Sensitive fields (national ID, phone, email) and student document notes are encrypted regardless of the sign-in method. The encryption key is protected by a data protection password chosen by the administrator; neither the password nor the key itself is ever sent to Filonom servers. Only the password-locked form of the key is stored — nobody without the password, including us, can open this data.
• The same password unlocks the data on any device or platform (Android, iOS, desktop); the recovery code issued during setup is the only way in if the password is forgotten.
• Names, the vehicle licence plate and the document status are not encrypted, because instructor and student accounts need to see them in their own schedules and panels.
• If you lose both your password and your recovery code, the encrypted fields can never be opened again — by the nature of encryption, we cannot recover them either.
• Access is protected by account authentication (Google, Apple or email/password) and server-side security rules.

4. Data Sharing

Your data is not shared with third parties unless required by a legal obligation, and is never sold.

Parent Portal: if it wishes, the business may publish a progress report for a student under a hard-to-guess random link. That report contains the student’s name, lesson progress, amount paid and outstanding balance, exam status and instructor evaluations; fields such as national ID and phone number are not included. Anyone holding the link can view the report; no sign-in is required. Who the link is shared with and when it is deleted are under the business’s control; deleting the report makes the link inaccessible. The business initiates this disclosure and is responsible for informing the student (or their guardian if a minor).

Public showcase: the business may optionally publish a listing containing its name, city and contact number. This listing contains no sensitive data.

5. Your Rights and Data Deletion

You may access, correct and request deletion of your data. From within the app, Settings → Account → “Delete My Account and All My Data” permanently deletes your account and all related data. For deletion requests or questions: destek@filonom.com.

You can also request account deletion without installing the app: email destek@filonom.com from the address linked to your account. Requests are completed within 30 days at the latest, permanently deleting your account together with all student, vehicle, payment and photo records.

6. Minors

Driving-school students may be minors. In that case, obtaining guardian/legal-representative consent for processing the student’s data is the responsibility of the business (the data controller).

7. Changes

This policy may be updated. The current version is available on this page and within the app.
